Post Title: Office Manager: Office of the DDG IDC
Remuneration: R 289 761 to R 341 313 per annum plus benefits (Salary Level 9)

Requirements: 

  • An appropriate three year tertiary qualification (NQF level 6) degree or diploma and 3 years proven office management experience;

Recommendation: 

  • Experience in an education environment;
  • Valid drivers’ licence;
  • Advanced knowledge of the South African Schools Act;
  • Knowledge of all legislation related to the key performance areas as they affect districts;
  • Proven excellence in management of district support and/or school management.

Key Performance Areas (Main Objectives):

  • Render secretariat support to the DDG IDC in specific meetings/forums/committees of the Department and external forums where applicable e.g. secretary of highly confidential and sensitive meetings.
  • Manage all administrative support functions, including documents of a very sensitive nature, in the Office of the DDG IDC, ensuring the proper flow of information and correspondence to and from the DDG.
  • Execute research, analyse information and compile complex documents/submissions of strategic nature for the DDG, EXCO and members of Top Management including drafting of presentations to the HoD, as instructed by the DDG IDC. Draft replies / memoranda of strategic nature on behalf of the DDG IDC specifically with respect to stakeholders. Manage parliamentary questions and enquiries.
  • Operational planning and work organisation of the BRANCH. Develop and maintain systems, procedures and protocols.
  • Manage the resources, including the finances, of the Branch.
  • Manage and co-ordinate and provides technical support to the DDG IDC i.r.o. HRM matters, including Performance Management (PAs) of the Chief Directors, Directors.
  • Analysis of and the rendering of strategic advice i.r.o all Public Service, Provincial and Departmental prescripts, policies and circulars and ensure compliance thereof.
  • Strategic co-ordination of functions in respect of integration of Office with stakeholders and the medium to long-term key strategic deliverables of the DDG IDC.
  • Manage the provisioning of advice and the rendering of a secretariat service regarding suspensions and expulsions.

1. GENERAL INSTRUCTIONS:

NB: PLEASE READ THE INSTRUCTIONS CAREFULLY BEFORE APPLYING:

Applicants must complete an application form (Z 83) that must be duly completed with all the required information as requested on the form. The application form Z 83 must be signed and dated by the applicant to ensure that the application is a legitimate application. The
application form Z83 is obtainable from the website of the WCED at http://www.wced.school.za or from any Public Service Department.

  • The post number and name of the post applied for must be indicated on your application form.
  • Applicants must submit a detailed up to date Curriculum Vitae (CV) containing, inter alia, a complete chronological record of training, experience, competencies and previous employment record as well as the names and telephone numbers of three persons willing to act as referees.
  • Applicants must submit certified copies of their original qualifications (degrees, diplomas, certificates etc.), valid driver’s licence (if applicable) and ID document to be submitted with application forms. Certified copies of service certificates which indicate the exact dates of previous employment must be provided if these exact dates are not mentioned in their CV’s.
  • Applicants in possession of a foreign qualification must attach an evaluation certificate from the South African Qualifications Authority (SAQA) to their application forms.
  • Non-RSA citizens/Permanent resident permit holders must submit a copy of his/her Permanent Resident Permit with his/her application.

2. GENERAL INFORMATION:

  • The appointment will be subject to a security clearance and the signing of an annual performance agreement. Furthermore, the appointment is subject to personnel suitability checks that include qualifications, previous employment, criminal records and credit verification as well as reference checking, as directed by the Department of Public Service and Administration.
  • Candidates applying for posts on Salary Level 9 and higher will be subjected to a competency assessment before final decisions are made in respect of the filling of posts.

3. COMMUNICATION:

4. SELECTION PROCESS:

  • It is expected of short-listed candidates to be available for selection interviews on a date, time and place determined by the WCED.
  • Candidates will be required to complete a work assignment.
