Secretary

Our client is recruiting for a Secretary.

ROLES AND RESPONSIBILITIES

  • Assist management on a daily basis
  • Draft and execute documentation and correspondence
  • Travel arrangements, hotel reservations, flight bookings and vehicle hire
  • Able to implement own initiative in making important decisions
  • Typing of minutes, memorandums and various reports from hand written drafts
  • Provide admin support with tender documents and project administration
  • Capturing and coordinating of timesheets
  • General administration duties (filing, emails, copies, binding of documents etc)
  • Diary management
  • Arrange meetings as well as meeting venues and facilities
  • Composing tender proposals
  • Liaison with revenue management accountants

MINIMUM REQUIREMENTS

  • Candidate must have a secretarial diploma or relevant experience
  • Minimum of 5 – 7 years experience as a secretary
  • Advanced level of MS Office (Word / Excel / Outlook)
  • Strong communication skills (written and spoken)
  • High level of assertiveness, but approachable and friendly
  • Excellent organisational skills; and
  • Professional telephone skills – screening telephone and personal callers in order to ensure that the manager is not unnecessarily interrupted
  • Candidate should preferably be from a consulting engineering environment
